(“Cousin Sam,” “we,” “us,” or “our”) collects, uses, and shares information when you use our website at https://www.cousinsam.com and our related services (collectively, the “Services”). By using the Services, you agree to the practices described in this policy.

Account information. When you create an account, we collect your name, email address, business name, and authentication credentials. Account creation and authentication are handled by our identity provider, Clerk.
Business profile information. To use our Services, you may provide information about your business, including NAICS codes, certifications, capability statements, past performance summaries, and federal contracting registration details.
Billing information. When you purchase a paid Cousin Sam plan or service (Contract-Ready Setup, the Monitor subscription, or a Pursuit engagement), we use Stripe and/or invoiced billing to process payments. We do not store full payment card numbers on our servers. We receive limited billing metadata from our payment processors, such as the last four digits of the card, the customer ID, and the subscription status.
Usage information. We collect information about how you use the Services, including pages viewed, features used, opportunities scanned, proposals drafted, and timestamps. This may include IP address, browser type, device identifiers, and referring URLs.
Email communications. If you contact us by email, we receive your email address and the contents of your message.
Cookies and similar technologies. We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Services, and understand how the Services are used.
2. How We Use Information
We use the information we collect to:
- Provide, maintain, and improve the Services
- Authenticate users and secure accounts
- Process payments and manage subscriptions
- Generate and deliver proposal drafts, scoring outputs, and opportunity recommendations
- Communicate with you about your account, billing, security, and product updates

3. How We Share Information
We share information only with the parties and for the purposes described below:
Service providers. We use trusted third parties to operate the Services, including Stripe (payments), Clerk (authentication), Vercel (hosting), SendGrid (transactional email), Cloudflare (DNS and security), and Anthropic and OpenAI (model inference). Each service provider receives only the information needed to perform its function and is bound by its own contractual and privacy obligations.
Legal and safety. We may share information when we reasonably believe it is necessary to comply with applicable law, enforce our Terms of Service, or protect the rights, property, or safety of Cousin Sam, our users, or the public.
Business transfers. If Cousin Sam is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.
With your consent. We may share information for any other purpose with your consent.
4. Data Retention
We retain account, business profile, and billing information for as long as your account is active and for a reasonable period afterward to comply with legal, tax, and audit obligations. Usage logs are typically retained for up to 24 months. You may request deletion of your account and associated data at any time.
5. Security
We use commercially reasonable administrative, technical, and physical safeguards to protect information from unauthorized access, disclosure, alteration, and destruction. Despite our efforts, no system is perfectly secure, and we cannot guarantee the security of information transmitted to or stored on the Services.
6. Your Rights
Depending on where you live, you may have rights regarding your personal information, including the right to access, correct, delete, or port your data, and the right to object to or restrict certain processing. California residents have additional rights under the California Consumer Privacy Act, and residents of the European Economic Area and United Kingdom have rights under the GDPR and UK GDPR.
